how do we know the shape of gaussian surface to be use in which case

You are free to choose any Gaussian surface, but obviously you would like to choose one for which integration is easy to do. So we try and choose a surface which gives us a constant value of electric field so that we can pull E out of the integration and we only need to integrate over the surface, i.e. find the total surface area.
